Keep the generation letter

YSC048E is more useful than “four-ton Trane.” Record the entire string from the nameplate and keep it with a photo of the equipment tag. Do not turn a partial match into an assumed full model.

• Full model and serial from the same unit.
• Nameplate photo, site tag and roof location.
• Document number and revision used for the visit.

Separate the unit from its controls

This IOM distinguishes electromechanical and ReliaTel controls. Record the installed control identity before choosing the associated reference. Keep a room-controller or building-system message separate from a rooftop-controller indication.

• Controller label and any separate thermostat or BAS interface.
• Message exactly as observed, with its time and source.
• Reference used by the technician and any unresolved question.

Keep the wiring reference traceable

A drawing found online can look familiar and still belong to a different configuration. Record the drawing number present on the unit and any accessory documentation used. Put photographs and the reference identity into the visit record.

• Unit drawing number and revision, if legible.
• Accessory or replacement-control identification.
• Any mismatch left for manufacturer or supplier confirmation.

Leave the next technician a usable handoff

Record the condition when you arrived, the work completed and the condition when you left. If a return visit is needed, give it a clear purpose. A good equipment record lets the next technician start with the actual history.

• What prompted the visit and what was observed.
• Completed work and readings, with units and operating conditions.
• Parts or information still needed for the return.

Review the full model before adding it. Existing work in your saved draft stays intact.
