Commercial HVAC invoicing software: clear the holds before billing.

The tech has left the site. The invoice is still waiting on hours, a parts price or someone to approve it. Good invoicing software should help the office understand what is missing and finish the handoff.

Ask what makes this job ready to bill.

A finished visit, a reviewed report and an approved invoice answer different questions. Start with one service call that is waiting on the office. Identify the missing evidence, who will get it and what the billing reviewer needs before approving the customer copy.

Separate the milestones

Visit completion records the state of the field work. It does not establish that every technician’s time and every material entry are ready for billing. A return visit may also remain open.

Report review checks what happened and how the equipment was left. Invoice approval checks the charges and customer details on the document to be issued. Neither action proves that the customer has received anything.

Customer delivery needs its own result. A queued email is still waiting to go through; a failed send needs attention. Payment is a later event, separate from preparing or sending the bill. Keep these distinctions visible when comparing systems.

“Waiting on paperwork” is too vague to act on. “Missing the second tech’s hours; service coordinator to follow up” gives someone a concrete job. Once that hold is cleared, check the rest of the draft. One answered question does not make the entire invoice correct.

Confirm how your agreement invoices will be handled during setup; a completed PM visit should not be mistaken for an instruction to bill that visit again.

Test one held invoice in a walkthrough

Bring a redacted service call, its time and materials, and any accepted scope or requested customer reference. Have the person who normally does billing create the draft, resolve one missing item and review the resulting document. Then inspect the approval and delivery steps separately.

If your current system already gives the office a complete draft and a clear review path, a better handoff within the team may be enough. Change software when the actual trial shows it addresses the gap. Ask how existing open invoices will be handled during rollout, using the switching checklist.
