Terms of service

Terms of service.

The plain agreement between BoltWright and the shops that use it.

Last updated October 9, 2026

The agreement.

These terms are the agreement between BoltWright Inc., a company based in Calgary, Alberta (“BoltWright”, “we”), and the business that uses BoltWright (“your shop”, “you”). They cover our Office and Field apps, Bolt, Service Desk, our integrations and the support that comes with them (together, “the service”). By creating a shop account, signing in or using the service for your shop, you accept these terms for your shop and confirm you are allowed to do that.

If your shop has a signed order form or written agreement with us, it wins wherever it differs from these terms. Our privacy policy explains how we handle personal information.

Accounts and your people.

Your shop decides who gets access and what role each person has. Keep that list current, remove people who leave, and make sure everyone signs in as themselves. You are responsible for what happens under your shop’s accounts, so tell us quickly at hello@boltwright.com if you think an account or device has been misused.

Field keeps work on the phone so it keeps going without reception. Use a screen lock on every phone or tablet that has BoltWright on it.

Your shop’s records.

Your customer records, equipment history, notes, photos, recordings, reports, quotes and invoices belong to your shop. You give us permission to store, copy, process and transmit them as needed to run the service for you, support you, keep it secure and fix problems. We do not sell your records, and we don’t train AI models on them without your permission. As our privacy policy explains, we may use information stripped of anything that identifies your shop or anyone in it to improve BoltWright.

You are responsible for having the right to put information into BoltWright. That includes telling your employees about features they use, such as optional GPS hours assistance, and having permission to text, email or call the customers you contact through the service.

You can ask for a readable export of your records at any time, including after you cancel. After your subscription ends we keep your records for 90 days so you can take them with you, then delete them from the active service. Copies in backups expire on their normal cycle.

Bolt and AI.

Bolt drafts reports, quotes, messages and suggestions from what your crew captures and what is already in your records. AI can be wrong. It can misread a nameplate, mishear a note or suggest a repair that doesn’t fit the unit in front of you. Your people review anything before it goes to a customer or into your books, and your shop is responsible for the reports, quotes, invoices and messages it sends. What Bolt drafts for your shop belongs to your shop, like the rest of your records.

Bolt is not a substitute for a qualified technician’s judgment on safety, refrigerant handling, code compliance or equipment diagnosis, and it does not give legal, tax or accounting advice.

Connected services.

You can connect BoltWright to services such as QuickBooks Online, Jobber and Google. When you connect one, you authorize us to exchange the records that integration needs. For QuickBooks, that means reading your company settings, customers, products and services, tax codes and open invoices, and sending invoices you approve from BoltWright to QuickBooks. For a United States company, it can also create a non-posting estimate so QuickBooks calculates sales tax. Your accountant or bookkeeper remains responsible for your books and tax filings.

Those services are run by other companies under their own terms. We are not responsible for their availability or for changes they make, and an integration may stop working if the provider changes or withdraws access. You can disconnect an integration at any time.

Using the service properly.

Please don’t use BoltWright to break the law, send spam or unwanted messages, upload malware, get into accounts or shops that aren’t yours, interfere with the service, or copy or reverse engineer it to build a competing product. Don’t put real customer or employee information into the public demo, which other visitors can see. We may suspend access that puts the service, other shops or the public at risk, and we will tell you why.

If you suggest an improvement, we’re free to build it without owing you anything for the idea. A lot of BoltWright started that way, so keep them coming.

Fees and billing.

Prices are on our pricing page or in a quote we give you, in Canadian dollars plus applicable tax. Billing starts when your shop sends its first invoice through BoltWright. We bill monthly based on that month’s working trucks, as defined on the pricing page. The guarantee, referral and switching credits on the pricing page apply as described there.

The subscription is month to month and you can cancel anytime. Cancellation takes effect at the end of the current billing month, and we do not refund partial months. If an invoice goes unpaid more than 30 days after its due date, we may suspend access after giving you written notice. We will not delete your records over an unpaid bill without first telling you in writing and giving you at least 30 days to take a copy. We will give you at least 30 days’ notice before a price change applies to your shop.

Keeping the service running.

We work to keep BoltWright available, secure and backed up, and to fix problems quickly. We do not promise uninterrupted service. Reception, phone operating systems, carriers and connected services are outside our control. We improve BoltWright constantly. If we remove a feature your shop relies on, we will tell you ahead of time.

The public demo, free report builder, equipment library and other free tools are provided as they are, without commitments of availability or accuracy.

Warranty and liability.

Apart from what these terms say, the service is provided as is, and we make no other warranties, including implied warranties of merchantability or fitness for a particular purpose, to the extent the law allows.

Neither of us is liable to the other for lost profits, lost revenue or indirect, special or consequential damages. Our total liability for any claims about the service is limited to the fees your shop paid us in the 12 months before the claim arose. These limits do not apply to fees you owe, or where the law does not allow them.

If someone makes a claim.

Your shop will cover our reasonable costs if someone brings a claim against us over information your shop put into BoltWright without the right to, or messages your shop sent in breach of anti-spam or privacy law. We will cover your reasonable costs if someone claims the BoltWright software itself infringes their intellectual property. That doesn’t extend to AI drafts or to your content. Whoever faces a claim tells the other promptly and lets them handle the defence.

Ending the agreement.

You can stop using BoltWright and cancel at any time. We can end this agreement with 30 days’ written notice, or immediately if your shop seriously breaks these terms and doesn’t fix it within 10 days of our notice. Sections about your records, fees owed, liability and governing law continue after the agreement ends.

The rest.

Alberta law and the federal laws of Canada that apply there govern these terms. The courts in Calgary, Alberta handle any dispute that we can’t settle by talking it through first.

We may update these terms as the service changes. We will post the new version here with a new date and, for a change that materially affects your shop, tell you by email or in the app at least 30 days before it applies. Neither of us is responsible for delays caused by events outside our reasonable control. If part of these terms can’t be enforced, the rest still applies. You may not transfer this agreement without our consent; we may transfer it to a successor of our business, and we will tell you if we do.

Questions about these terms go to Mark Erdmann, founder, at hello@boltwright.com.
