Offline HVAC field software: test it where the signal disappears.
Saved stops, notes, photos and recorded voice need to survive poor reception. Here is a practical test for the phone workflow and the office handoff.
The mechanical room has no reception. The tech still needs the right unit, the last useful note, and somewhere to put today's photos. “Works offline” is only useful if you know which work stays available and what waits for a connection.
Start with work already saved on the phone.
Load the day's route and open the stops you will need while connected. Check the equipment and access details before heading inside. Saved information can get you through the visit, but it cannot show a dispatch change or another tech's latest note until the phone reconnects.
BoltWright's Field app uses saved stops and equipment for offline access and search. A stop that has not been loaded on that phone needs a connection. Make that distinction part of the trial, especially if your crew regularly gets reassigned during the day.
What stays on the phone, and what needs a connection?
This table describes BoltWright Field on iPhone. Check the exact app and version your crew will use during the trial.
Swipe the table sideways to compare offline work with connected work.
| Work | Without signal | When connected |
|---|---|---|
| Stop and equipment context | Use context already saved on this phone. Search covers saved stops and equipment. | Load an unseen stop and refresh changes from the office or other technicians. |
| Typed notes, photos and recorded voice notes | Save capture work on the phone for later delivery. | Send saved work to the office and check that it arrived. |
| Equipment record changes | Capture a note or photo of what needs correcting. | Update the equipment record. These changes require a connection. |
| Live conversation with Bolt | Saved conversations remain available to read. A recorded voice note can preserve what you want to report. | Bolt needs a connection to reply and hold a live conversation. |
| Office handoff | Work saved on the phone has not yet reached the office. | Check delivery before the office relies on it for report review and follow-up. |
Run this test on the phone your crew uses.
- Load a representative stop. Use a test job with more than one unit. Confirm that the saved context is enough to find the equipment and understand the work.
- Turn off the connection. Enable airplane mode and turn off Wi-Fi. Open the saved stop and the equipment information you expect to use.
- Capture a small visit. Type a note, take a photo, and record a voice note. Save each one. Check that the phone distinguishes saved work from sent work.
- Close and reopen the app. Stay offline. Find the same stop and confirm that every saved item remains available. Include locking and unlocking the phone in the trial.
- Reconnect and check both ends. Confirm that the phone sends the work, then open the office record. Look for every note and attachment, attached to the correct visit and unit, without duplicates.
- Try an unseen stop. Go offline again and try to open a stop that was never loaded. The limitation should be clear enough that a tech knows what to do next.
Do this with the actual phone and app you intend to use. A desktop demo does not answer what happens when someone locks the phone halfway through the job.
Saved is a useful promise. Sent is a different one.
A tech should be able to save the work and see what still needs to go through. The office needs to know when that work has arrived before preparing customer paperwork. If a send needs attention, the phone should give the tech a clear next step.
Keep unsent work on the phone until delivery is confirmed. In BoltWright, signing out removes local saved work, including unsent capture; the app warns before doing so. If a connection or sign-in problem interrupts delivery, resolve that before signing out.
The field record feeds the rest of the shop.
BoltWright connects Field with dispatch, equipment history, PM agreements, report review, quotes and invoices. Offline capture preserves the technician's contribution until it can reach that workflow. Explore the Field workflow and see what the office needs for a service report.
