Housecall Pro alternatives for commercial HVAC: test the field handoff.
Housecall Pro already supports equipment records and Service Plans. If you’re considering an alternative, test what happens during your commercial visits, especially when the tech needs to save new information without reception.

Housecall Pro’s Mobile FAQ describes offline access to previously opened job information, but says editing without a connection is unsupported. That is a specific limitation to verify in the current app. It does not mean HCP lacks equipment records, maintenance plans or offline viewing.
Check the setup you already have
The official Property Profile guide describes multiple equipment items at a customer address, including display names, make, model and serial number. It also documents adding equipment on mobile and associating items with a job. A separate guide explains attaching equipment to a Service Plan.
If these features keep your equipment and planned work clear, and your normal field workflow reaches the office without extra chasing, you may have no reason to move. Before changing systems, ask HCP to show the full workflow using one of your commercial properties.
Take one visit out of reception
The HCP Mobile FAQ, updated January 21, 2026, says job information must be opened while connected before it can be viewed offline. Its documented stored information includes previously viewed notes, checklists and attachments. It also states that editing without Wi-Fi or cell service is not supported.
Check that behavior on the version your crew uses. If a technician regularly needs to record fresh findings inside a mechanical room with no signal, the ability to view the last visit and the ability to save today’s work are two different buying requirements.
Keep a receipt for the trial
Use a fictional visit: a tech checks a pump, records an unusual bearing noise and takes a photo of the nameplate. Open the job before disconnecting. Then capture the new evidence, close and reopen the app, reconnect and inspect the office record. Record the phone, app version and observed result beside each row. Leave untested work unproven.

Then follow the agreement and the repair separately
Ask each vendor to show a planned visit covering several units. Complete the agreed maintenance, but leave one repair awaiting customer approval. The office should be able to see what the visit delivered, what repair is outstanding and what remains due next season.
This is a buying test, not a claim that HCP fails it. Equipment attached to a Service Plan is a useful starting point. The question is whether the resulting records and next actions are clear enough for your service manager and dispatcher.
Compare the rest of the platform before moving

HCP’s import/export documentation describes spreadsheet imports and a data-team option for MAX users, including equipment and job history. Before any move, obtain a sample of the records you need and ask the receiving vendor to demonstrate their import. Agree the scope, any fees and the operating system during transition.
